Role Overview
We have an exciting opportunity for someone to join us as a Outbound Logistics Specialist, supporting Volcafe North America. The position will be responsible for ensuring the accurate release and dispatch of coffee to customers in line with contractual, regulatory and operational requirements. This role oversees a focus on a variety of different key processes including storage, sampling, transportation, consignment management and documentation. The position offers long-term development potential for someone eager to demonstrate their skills and experience in a fast-paced soft commodities environment.

This role will be based from Volcafe’s office based in San Jose, Costa Rica.
Key Accountabilities
- Oversee coffee arrivals at warehouses, ensuring delivery accuracy and proper system record keeping.
- Manage reconditioning of damaged products, maintaining records and clear communication with teams and clients.
- Oversee sample processes, including arrivals, resamples, and tracking.
- Coordinate client delivery orders, ensuring correct contract processing and distribution.
- Support spot purchases by verifying documentation, certifications, and contract conditions.
- Assess transport options and costs, obtaining quotes to support decision-making.
- Coordinate FTL/LTL shipments with warehouses, clients, and carriers to ensure timely delivery.
- Manage consignment processes, including rejections, transfers, and documentation.
- Monitor certification compliance and maintain records for audits and traceability.
- Coordinate audits, ensuring inventory accuracy across warehouse locations.
- Handle rejections, including reconditioning, system updates, and team communication.
- Manage claims related to handling and transportation with suppliers and service providers.
- Facilitate communication across teams, clients, and third parties to ensure smooth operations.
- Develop and maintain SOPs and reports to support consistency and transparency.
- Administer contract documentation and ensure accurate system updates.
- Prepare and review invoices related to logistics and contracts for finance approval.
- Support Trading by aligning processes with client needs and ensuring operational readiness.
- Collaborate on onboarding, inquiries, and contract reviews while upholding standards.
- Monitor finance limits and flag potential exceedances.
- Share logistics capabilities and constraints to support effective planning and execution.
Skills and Experience
- Minimum 2+ years’ experience in logistics, supply chain, or operations, preferably within commodities, agriculture or similar environments.
- Bachelor’s degree in Logistics, Supply Chain, Business Administration or Industrial Engineering is preferred.
- Possession of a valid US VISA is essential.
- Fluency in English and Spanish with strong written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel is required, competency in ERP systems including Microsoft Dynamics 365 is advantageous.
- Experience coordinating transportation, warehousing and distribution, including FTL/LTL shipments.
- Understanding of logistics documentation, contract management and compliance requirements.
- Experience working with third-party providers such as warehouses, carriers and inspection companies.
- Ability to manage multiple priorities with accuracy in a fast-paced environment.
- Good problem-solving skills for handling claims, rejections and operational issues.
- High attention to detail and strong organizational skills.
- Proven ability to collaborate across teams and manage stakeholder relationships.
- Commercial awareness and ability to support trading activities and client needs.
