The position is based from our Global Headquarters in Winterthur, Switzerland. This role will provide direct support to the Managing Director, CFO, COO and CHRO ensuring seamless day-to-day coordination and communication. The candidate will as well have a direct report based in Bangalore.

Key Accountabilities

  • Manage complex and dynamic calendars across time zones, scheduling meetings with foresight and resolving potential conflicts.
  • Coordinate communications and maintain professional interactions with internal and external stakeholders, including senior executives, board members, and business partners.
  • Organize international events and high-level meetings, including preparation of agendas, materials, travel bookings, and accommodations.
  • Respond to inquiries via email, phone, or in person, providing accurate and timely information.
  • Prepare and submit expense reports in line with internal deadlines and policy requirements.

Key Accountabilities:

  • Updating weekly spot price list and distributing to internal traders and clients.
  • Contract management including accurate, complete and timely release of physical coffee contracts.
  • Reviewing third party contract documentation and monitoring the return of contracts.
  • Currency hedging for contracts that are in non-USD currency.
  • Acting as the substitute trader in the absence of the senior traders.
  • Assisting in preparations for the month end process and valuation (P&L).

Skills and Experience:

Key Accountabilities

Operational HR Management responsibilities:

  • Managing the full employee lifecycle from onboarding, employee lifetime and offboarding.
  • Acting as the trusted assistant to Head of HR alongside business partnering with senior management and wider global teams.

Key Accountabilities

We are seeking a commercially oriented supply chain professional who can drive the business forward. This is a significant “hands on” role with also requires higher level analysis and review. Ideally, you will have significant experience of operating within a fast-paced multinational, entrepreneurial trading and/or commercial environment. The successful individual will have a solid understanding of supply chain management within the physical commodity trading and its impact on the business.

Supply Chain Strategy

  • Conduct a full global analysis and review of supply chains across the organisation providing recommendations on structures (both people and process), setting KPIs, and advising on clear deliverables.
  • Design, lead and implement an efficient, robust logistics strategy to ensure the most efficient movement of coffee globally.
  • Adapt the logistics function to changes in trading strategy without compromising costs or efficiency.
  • Partner with Volcafe group companies / functions to identify areas for insourcing and automation across all existing and potential functions.
  • Identify and propose solutions to existing deficiencies to keep cost and risk at a minimum.
  • Drive change through the operation. Identifying and facilitating adaption for future business needs and ensuring optimal support and execution.
  • Drive the digitalisation of the supply chain function.
  • Work in a continuous improvement environment and be accountable for identifying and proactively addressing opportunities for cost reduction, performance improvement and risk mitigation, within portfolios of spend and/or individual supplier relationships, demonstrating real value for money.
  • Be responsible for the development and implementation of the freight negotiation strategy, including payment profiles and associated terms to meet the cash flow requirements of the business.
  • Provide guidance and support on the full life cycle of strategic Supplier Relationship Management, including negotiating and establishment of SLAs and monitoring of KPIs.
  • Prepare and negotiate new service contracts or contract amendments and arrange for their approval.
  • Accountable for building and developing collaborative internal and external relationships, ensuring that supply chain and supplier strategy and performance underpins business area objectives and budgets.

Team Management

  • Review the global team structure and make sure it is efficient and fit for purpose and that the correct training is taking place.
  • Lead and manage the Global Supply Chain team, through matrix reporting lines globally.

Compliance

  • Own the dispute resolution process, making recommendations for improvements, highlight any trends and patterns to GMs for resolution and to directly handle any high-profile disputes that may arise during the consultancy period.
  • Review all current insurance policies to ensure they are fit for purpose and that all employees understand the policy requirements and claims process.
  • Ensure that appropriate and auditable standards, controls and governance frameworks are in place and that contracts are legally & ethically compliant.
  • Provide guidance on compliance to terms and conditions, identifying the flow down of such terms and conditions and supporting the assessment of ‘supply chain gap analysis’.
  • Identify potential liabilities, risks, issues and disputes, arising with customers, suppliers, partners and third parties, and produce innovative mitigation plans.
  • Continuously monitor and mitigate any logistical third-party provider risks globally.

Skills and Experience

  • A supply chain and procurement professional with extensive category and supplier relationship management experience in physical commodities, ideally coffee.
  • Extensive team management experience and ability to work in a complex global matrix organisation.
  • Extensive experience of working in a continuous improvement environment across logistics/supply chain.
  • Knowledge of Internal controls, operational risk management, Collateral Management Agreement (CMA) and Stock Monitoring Agreement (SMA) services
  • Knowledge of supply chain movement and management and client relationship management.
  • Experience of international documentary requirements for the movement of goods by sea, rail and truck including BLs, COIs, LCs, Commercial Invoices, Shipping Instructions, Packing Lists, IQS requirements etc.

Key Accountabilities

You will focus on managing one for our American Arabicas trading books and be responsible for developing and rolling out physical trading strategies. You will need to maintain strong relationships throughout the industry, to manage our trading book exposure, and to report PNL on both a daily and monthly basis. Close collaboration with internal stakeholders is a must, as well as eagerness to constantly seek trading opportunities. The role requires a strong ability to adapt as regulatory development (EUDR) will create trading opportunities for the most proactive players in the industry.

  • Manage and grow the trading book and profit centre on behalf of the Swiss office, becoming a market maker for both our key customers as well as our sales offices around the globe.
  • Roll out a physical coffee trading strategy based on global supply and demand balance sheet developments.
  • Sales and business development with prospective clients.
  • Maintain close contacts with assigned key roasters developing strong working relationships through high quality engagement and regular visits.
  • Develop strong relationships with internal and external stakeholders in origin in support of a competitive sourcing strategy and to take on additional sourcing origin destinations where opportunities arise.
  • Contract negotiations with both suppliers and customers; agreeing quality, volumes, delivery terms, prices and other specifications.
  • Competently manage any challenges or issues within the supply, working proactively with partners to identify and execution the best solutions.
  • Proactively manage any quality issues through close working relationship with suppliers and customers.
  • Travel to origin countries and/or roaster clients when and if required.
  • Develop good external networks, to ensure the team are aware of industry developments and news as well as participation in key industry events.

We have an exciting opportunity for someone to join us as a Marketing & Communications Coordinator on a full time basis to work in a truly global environment to improve Volcafe’s brand recognition and further anchor Volcafe’s position in the industry reporting to Head of Marketing & Communications. The role provides long term development potential for someone eager to demonstrate their skills and experience in the fast-paced soft commodities environment.

We supply the world’s major coffee roasters and retail distributors with their green coffee requirements, with significant strategic growth ambitions for the future. We are part of ED&F Man Commodities, a world leading trader of agricultural products including coffee, sugar, molasses and animal feed.

Volcafe works across the whole green coffee supply chain to make coffee business better, together with our partners and employees. We have built and operate sustainable coffee supply chains across all our origins, addressing key economic, social and environmental issues in coffee farming communities. Our Volcafe Way farmer support programme engages with thousands of coffee farmers and provides a holistic response to the challenges they face.

The successful candidate could be based at any of our European offices Madrid (Spain), Genoa (Italy), Bremen (Germany) or Winterthur (Switzerland) on an hybrid basis.

Key Accountabilities

  • Further develop internal communications through curating content, planning and developing the monthly company internal newsletter.
  • Coordinate and manage Volcafe’s presence on social media, provide guidance to the local teams, act as Community Manager
  • Support the Head of Marketing & Communications in further enhancing the communications to customers, lead migration to a CRM system
  • Support the Head of Marketing & Communications in ensuring consistency and developing guidance for commercial events
  • Support the team in producing marketing and communications content, from stories and case studies to employee testimonials
  • In cooperation with the Global HR team, initiate and organise company-wide internal events
  • Support the management team and employees develop professional and on-brand presentations

Skills and Experience

  • Bachelor / Master degree in marketing, communications, or business degree with focus in marketing is preferred
  • 2-3 years’ experience in a Marketing and Communications operational role – preferably in a B2B environment
  • Previous experience in digital communications including managing social media account(s), email communications
  • Strong presentation skills
  • Fluency in English is essential. Knowledge of Spanish is advantageous
  • Strong organisations skills
  • Flair for design and creativity, knowledge of Adobe Creative Suite or other similar software is a plus
  • Hands-on mentality, self-motivated, proactive and attentive to details
  • Ideally based in Spain, but other European locations will be considered
