We have an exciting opportunity for someone to join us on a 12-month fixed contract as an Executive Assistant to support the senior leadership team. The role provides an opportunity to join the fast-paced soft commodities environment.

Our Volcafe Way farmer support programme engages with thousands of coffee farmers and provides a holistic response to the challenges they face.
The position is based from our Global Headquarters in Winterthur, Switzerland. This role will provide direct support to the Managing Director, CFO, COO and CHRO ensuring seamless day-to-day coordination and communication. The candidate will as well have a direct report based in Bangalore.
Key Accountabilities
- Manage complex and dynamic calendars across time zones, scheduling meetings with foresight and resolving potential conflicts.
- Coordinate communications and maintain professional interactions with internal and external stakeholders, including senior executives, board members, and business partners.
- Organize international events and high-level meetings, including preparation of agendas, materials, travel bookings, and accommodations.
- Respond to inquiries via email, phone, or in person, providing accurate and timely information.
- Prepare and submit expense reports in line with internal deadlines and policy requirements.
- Manage procurement of office supplies, courier services, and liaise with building management on facilities issues as needed.
- Coordinate document approvals and signature collection, ensuring appropriate filing and maintaining confidentiality.
- Ensure smooth execution of day-to-day office operations and administrative processes.
- Oversee clerical duties and administrative processes with professionalism and courtesy, drafting and distribute professional correspondence, including memos, letters, and emails.
Skills and Experience
- Proven experience supporting the Executive / C Suite team, in a fast-paced, international environment.
- Strong understanding of office management systems, protocols and procedures.
- Excellent written and verbal communication skills in English and German, other languages are beneficial.
- Excellent time management skills and ability to multi-task and prioritise work.
- Attention to detail and problem-solving skills.
- Strong organizational and planning skills.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Familiarity with expense management tools (e.g., Concur).
- Experience with collaboration platforms (e.g., Teams, Zoom, Slack).
- Bachelor’s degree or advanced certifications in a relevant field preferred.
